With the annual financial reporting season upon us, we are excited to share some important deadlines, adjustments to the financial reporting process and details with you. We hope you will find these adjustments to be positive changes that not only help simplify the submission process, but aid in better support of your finance tracking needs.
Important Deadlines:
- Thursday, June 27: Service Unit Treasurer must submit the Service Unit Financial Report, along with the first and last month’s bank statements.
- Wednesday, July 17: Service Unit Treasurers must complete the review of all Troop Financial Reports that have been submitted.
- Wednesday, July 17: Your assigned Community Engagement Manager will complete their review of your Service Unit Financial Report.
- Thursday, August 14: Council staff from the Finance department will complete their audits.
Notable Adjustments:
New Online Form:
- For those previously serving as Service Unit Treasurer, we will no longer be using the Liscio platform as a way to send and receive the Financial Report submissions.
- Please make submissions using the new Service Unit Financial Report online form.
- These new reports can be supported by the newly developed Service Unit Finance Tracking Spreadsheet and the modified Troop Finance Tracking Spreadsheet.
- For Troop Financial Reports: Upon submission of the online form, a copy of the report will be emailed to the submitter and the Service Unit Treasurer. Also, a case will be created for Customer Care.
- For Service Unit Financial Reports: A copy of the report will be emailed to the submitter and a case will be created for Customer Care/Community Engagement Managers.
Form & Spreadsheet Enhancements
- Troop Finance Tracking Spreadsheet: The spreadsheet now offers two additional tabs, Instructions and Glossary. These additions offer more thorough instructions on how to use the spreadsheet as well as an improved explanation of the income/expense categories and their definitions to help with managing your bank account throughout the year. Also, this spreadsheet will now calculate using all positive numbers and it is no longer necessary to enter negative numbers to represent expenses.
- Service Unit Tracking Spreadsheet: This is a newly developed tool to support the annual tracking of the unit’s income and expenses similarly to how the Troop Treasurers track their financial information. The spreadsheet for Service Unit Treasurers varies slightly with different income/expense categories.
- Troop Checking Account / Financial Report Review Form: This is also a newly created form to help streamline your notifications for our council staff team to review any troop banking activity causing you concern. As Service Unit Treasurers may be performing their own audits to troop accounts throughout the membership year, this form can be utilized at any point and isn’t limited to the annual submission of the Troop Financial Reports. Be sure to bookmark or save this link.
Notable Details:
- It is mandatory for troops and service units to submit the Financial Report each year to remain in a good standing status with the council.
- In preparation for submitting your report, be sure your calculations of the income and expense amounts balance before you submit the report.
- Each troop and service unit should only submit one report and should be submitted by the Troop Treasurer/SU Treasurer.
